What do we need to do with our laptops at the end of lease?

You need to notify Equico (the finance company) of your intent to return or retain end of lease laptops via the End of Lease web site and complete all associated end of lease procedures as directed by the finance company. Why is it important to arrange to retain or return the laptops by the end of lease date? What will happen if I don't?

The school has signed a contract with the finance company which expires on a specific date.
By signing this contract the school has agreed to the conditions of end of lease for the laptops. Failure to return the laptops or pay for their retention before this date will result in the school being charged for non-return. Edit

What if we wish to retain an end of lease laptop?

You will receive notification from the Ministry when a lease for TELA laptops is due to expire. This notification is sent 60 days prior to the lease expiry date.
If you wish to retain the laptops you will need to arrange this through the End of Lease web site and complete all associated procedures prior to 14 days before the expiry date.
If you wish to retain the laptop you can do so by entering into a new lease with Equico for a further 12 months. Please note that the new lease has to be with the school and the laptops will no longer be covered under indemnity or warranty. A new extended lease agreement has to be downloaded from the End of Lease web site. The signed original document will need to be sent to Equico by post prior to the expiry date of the lease that is being processed.
NB: At the end of the extended rental period, the finance company will not require return of the laptop.

How would I know what date to return the laptops?

You will receive notification from the Ministry when a lease for TELA laptops is due to expire. This notification is sent 60 days prior to the lease expiry date.
All laptops need to be uplifted from your school at least 14 days prior to the lease expiry date.
If for some reason, the school is unable to meet this deadline, please contact Equico (Contacts) to discuss alternate arrangements.

What do we need to do when we receive this notification and wish to return the end of lease laptops?

You will need to select a collection (return) date for the laptops. If you place your order for replacement laptops as soon as you receive notification from the Ministry, you should be able to select a return date for ex-lease laptops that falls 14 days prior to the expiry date. If you act promptly to undertake all end of lease procedures you should be able to select a return date for the ex-lease laptops that gives you enough time to receive your new laptops, transfer data from the old laptops to new laptops and delete the data on the old laptops prior to the old laptops being uplifted from the school.

Why is it important to have the end of lease laptops ready for pickup on the collection date selected by the school at the time of processing end of lease?

An automated courier booking is made with Courier Post when a school selects a return date on the End of Lease web site. If the units are not collected on this date, the courier booking is automatically cancelled, resulting in the laptops being left at your school. This could impact on the school’s contractual obligations with the finance company.

Can we have more time to order the replacement laptops and complete end of lease?

We now provide schools with more time to place their order and receive new laptops. The ordering web site with updated entitlement limits for replacement laptops is opened 60 days prior to the end of lease date.
The End of Lease site will now open 67 days prior to the end of lease date to allow for end of lease procedures to be completed.
Returns are still to be made up to 14 days prior to the end of lease, however any schools who may not meet this deadline are requested to contact Equico to discuss other arrangements in advance.

What needs to be returned?

You will need to return each laptop and its original accessories and ensure your data and any passwords are cleared from the laptops.

What condition do the laptops need to be in when I return them?

Clause 22 point (3) of the lease agreement states - the equipment must be returned to the Financier in the same condition it was when the Lessee first took delivery of the equipment (reasonable wear and tear excepted).

Why is it important to clear any passwords on the laptops before returning them at the end of lease?

All passwords (power on, Administration, BIOS or hard drive) and confidential data must be removed before the laptop is returned. Where laptops are returned with password protection still in place, the finance company retains the right to charge your school a fee for loss of value associated with this password protection. A laptop returned with passwords is equivalent to a damaged laptop.

My laptop was recently replaced under indemnity or warranty with a new model - why do I have to return this laptop on the same expiry date as the original laptop?

The return date for each laptop is based on the date the lease commenced for the school, not the age of the laptop.
All laptops on lease, including those that have been replaced under Indemnity or warranty remain the property of the finance provider.
As such laptops that are provided as replacements under indemnity are returned to the finance provider in place of the original laptops at the end of lease.

Why is it important to check serial numbers on the laptops before returning them?

The End of Lease web site will provide a list of serial numbers to allow you to identify which laptops at your school are due to be returned.
You will need to ensure that the serial numbers of any laptops you are returning match those listed as coming off lease on the End of Lease web site.
If a laptop with the wrong serial number is returned, the school will be invoiced for courier and related expenses as a result of the incorrect return. The finance company will contact the school to notify this and to organise return of the correct laptop.
If a laptop on the expiring lease was replaced at any stage with a new laptop under indemnity or warranty, this replacement laptop will have to be returned at the end of lease in place of the original. This is because it still forms part of the expiring lease. If there is any discrepancy with the serial numbers, please contact the finance company to clarify this (Contacts).
